Privacy Policy

Effective Date: August 27, 2026
Last Updated: August 27, 2026

Onyx Interactive Network (“ONI,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you interact with ONI’s websites, billing portal, Discord servers and communities, hosted game servers, bot hosting, server management, setup and configuration services, dashboards, databases, custom development, support systems, applications, events, and other digital products or services (collectively, the “Services”).

This Policy should be read together with ONI’s Terms of Service, Refund and Cancellation Policy, Cookie Policy, and any service-specific terms presented to you.

1. Scope and ONI’s Role

This Policy applies when ONI determines how and why personal information is processed, including information submitted through ONI’s website, billing system, applications, support channels, and ONI-managed communities.

For some hosted servers, bots, dashboards, databases, or managed systems, ONI may process personal information on behalf of a customer that controls the applicable community or service. In that situation, the customer may be primarily responsible for its own privacy notices, permissions, and responses to user requests. If your request concerns information controlled by one of ONI’s customers, we may direct you to that customer or assist the customer as appropriate.

This Policy does not control the independent privacy practices of Discord, game publishers, payment processors, social platforms, partner communities, creators, or other third parties.

2. Personal Information We Collect

The information ONI collects depends on how you interact with the Services.

A. Information You Provide Directly

We may collect:

  • Identity and contact information: legal name, display name, email address, Discord username, organization or company name, and other contact details;
  • Account information: username, account identifiers, authentication details, account preferences, roles, permissions, and information used to administer an account;
  • Billing and transaction information: billing contact details, service plan, invoices, subscriptions, transaction status, payment history, and related records. Payment-card, bank, or wallet credentials are generally collected and processed directly by the payment provider rather than stored by ONI;
  • Contact and support information: your name, email address, inquiry category, subject, message, support-ticket contents, attachments, correspondence, troubleshooting information, and ticket transcripts;
  • Creator application information: name, email, Discord username, Twitch or other channel URLs, content links, audience size, reason for applying, additional information, application status, eligibility status, review dates, qualification evidence, and reviewer notes;
  • Partnership application information: contact name, email, Discord username, organization or community name, website URL, reason for applying, additional information, application status, and review notes;
  • Staff interest information: name, email, Discord username, age, role of interest, experience, weekly availability, reason for applying, additional information, application status, and review notes;
  • Customer content and project information: files, code, configurations, databases, credentials or access permissions, branding, server content, bot settings, technical requirements, backups, and other material submitted so ONI can provide a requested Service;
  • Community and event information: messages, posts, usernames, avatars, reactions, voice participation, gameplay, event participation, reports, moderation appeals, and other contributions made in ONI-managed spaces; and
  • Marketing preferences: whether you want to receive or stop receiving newsletters, event information, network updates, or promotional messages.

Please do not send Social Security numbers, government identification numbers, medical information, financial-account credentials, or other highly sensitive information unless ONI specifically requests it for a lawful and necessary purpose through an appropriate secure method.

B. Information Collected Automatically

When you use the website, billing portal, hosted infrastructure, dashboards, bots, game servers, or other online Services, ONI and its service providers may automatically process:

  • IP address and approximate location derived from the IP address;
  • browser, operating system, device type, and language;
  • access dates and times, requested pages or endpoints, referring pages, and navigation activity;
  • account, session, cookie, server, guild, channel, game, or device identifiers;
  • authentication, security, error, performance, diagnostic, and audit logs;
  • server resource usage, network activity, ports, allocations, uptime, command activity, and technical events; and
  • suspected abuse, fraud, intrusion, policy violations, or other security signals.

ONI does not currently use Google Analytics, Meta Pixel, or similar advertising trackers on the main ONI website. The website and its infrastructure may still use essential technologies and create technical logs needed to deliver pages, maintain sessions, prevent abuse, and protect the Services. See the Cookie Policy for additional information.

C. Information From Third Parties

ONI may receive personal information from:

  • Discord and other connected platforms, such as your platform user ID, username, avatar, roles, server or guild membership, channel permissions, command interactions, and information you authorize the platform to provide;
  • payment processors, such as payment status, transaction identifier, payer contact information, dispute information, and limited payment-method details;
  • ONI customers and authorized account administrators who add users or submit information needed to operate a hosted server, bot, dashboard, or managed service;
  • partner communities, creators, event organizers, game services, and platform APIs when necessary to administer a disclosed collaboration, application, event, or integration; and
  • public sources, such as creator channels, public profiles, public websites, and content used to evaluate an application, verify eligibility, prevent fraud, or protect the community.

3. How We Use Personal Information

ONI may use personal information to:

  • provide, provision, configure, host, maintain, secure, and support the Services;
  • create and administer accounts, permissions, subscriptions, invoices, payments, renewals, cancellations, refunds, and service records;
  • review creator, partner, staff, sponsorship, or other applications and maintain qualification or eligibility records;
  • operate Discord communities, bots, support tickets, transcripts, moderation systems, game servers, events, and public community features;
  • communicate about accounts, billing, support, maintenance, outages, security, policy changes, and other service matters;
  • send ONI newsletters, event announcements, network updates, and promotional messages where permitted;
  • respond to questions, requests, complaints, reports, disputes, and legal notices;
  • monitor performance, diagnose problems, develop improvements, and understand how Services are used;
  • prevent, detect, investigate, and respond to fraud, abuse, unauthorized access, security threats, Terms violations, and illegal activity;
  • enforce agreements and community standards and protect ONI, its users, customers, infrastructure, and third parties;
  • comply with legal, tax, accounting, regulatory, and law-enforcement obligations; and
  • establish, exercise, or defend legal claims.

Where applicable law requires a legal basis, ONI processes personal information as necessary to perform a contract, take requested pre-contract steps, pursue legitimate operational and security interests, comply with legal obligations, or act with your consent. You may withdraw consent for future processing when consent is the applicable basis, subject to legal and operational limitations.

4. How We Disclose Personal Information

ONI may disclose personal information in the following circumstances.

A. Service Providers

We may provide information to vendors and contractors that help us operate the Services, such as website and application hosting providers, infrastructure and network providers, security and performance providers, payment processors, email providers, backup providers, support tools, and professional advisers. These providers may include the infrastructure supporting Base44, Cloudflare, ONI’s billing and hosting control systems, and the payment method shown at checkout.

Providers receive only the information reasonably necessary for their role and process it under their own terms or their agreements with ONI.

B. Customers and Account Administrators

If you use a Service controlled by an ONI customer or join an organization-managed server, bot, dashboard, or community, information about your account and activity may be visible to that customer’s authorized administrators. ONI is not responsible for an administrator’s independent use of information outside ONI’s instructions or Services.

C. Public and Community Disclosures

Information you post in public or community-facing areas may be visible to members or the public. When you voluntarily participate in an event, voice channel, gameplay session, or community activity identified as public, streamed, or recorded, your username, avatar, voice, gameplay, chat, or other public contribution may appear in recordings, livestreams, clips, screenshots, or promotional recaps.

D. Partners and Collaborators

For a jointly hosted event, application, partnership, referral, or collaboration, ONI may provide relevant information to the identified partner when necessary to perform the activity, when you direct us to do so, or when the disclosure was explained when the information was collected.

E. Legal, Safety, and Compliance Reasons

We may preserve or disclose information when we reasonably believe it is necessary to comply with law, legal process, a valid government request, or a platform requirement; enforce an agreement; collect amounts owed; investigate fraud or abuse; protect safety, rights, property, or infrastructure; or establish, exercise, or defend legal claims.

F. Business Transactions

Information may be transferred as part of a merger, financing, reorganization, sale of assets, acquisition, or similar business transaction. Any recipient will remain subject to applicable privacy obligations regarding the transferred information.

5. No Sale of Personal Information or Targeted Advertising

ONI does not sell personal information and does not share personal information with third parties for targeted or cross-context behavioral advertising. ONI also does not knowingly sell or share the personal information of minors for those purposes.

ONI may promote its own Services, creators, partners, events, or communities using contact information as described in this Policy. That first-party communication is not a sale of personal information.

If ONI’s practices change, we will update this Policy, provide any legally required notice, and offer required consent or opt-out controls before using personal information in the new manner.

6. Cookies and Similar Technologies

The website and service providers may use cookies, local storage, session technologies, and similar tools that are reasonably necessary to:

  • load and operate pages and features;
  • remember a session or preference;
  • authenticate users and maintain account security;
  • route traffic and balance system load;
  • prevent fraud, spam, and abuse; and
  • diagnose errors and protect the website and infrastructure.

ONI does not currently use advertising cookies or intentionally install third-party analytics trackers on the main website. You can use browser controls to delete or block cookies, but disabling necessary technologies may prevent certain features from functioning.

For more information, review ONI’s Cookie Policy.

7. Email and Marketing Choices

ONI may send transactional or operational messages concerning your account, invoices, payments, support requests, security, outages, maintenance, policy changes, applications, or active Services. You generally cannot opt out of necessary operational messages while maintaining the related account or Service.

ONI may also send newsletters, event announcements, network updates, and promotional messages. You may opt out of promotional email by using the unsubscribe method included in the message or by emailing admin@onyxinteractive.org. An opt-out may take a reasonable period to process and will not stop necessary account, billing, security, or support communications.

ONI does not send marketing text messages under this Policy unless a separate disclosure and legally required consent process is presented to you.

8. Data Retention and Deletion

ONI retains personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing Services, maintaining business and transaction records, resolving disputes, enforcing agreements, protecting security, and complying with tax, accounting, legal, and regulatory obligations.

Retention periods vary by record type and context:

  • customer data associated with a terminated or expired hosted Service may begin permanent deletion seven calendar days after termination or expiration, as described in the Terms of Service;
  • billing, transaction, refund, tax, and accounting records may be retained for the period required by law or reasonably needed for audits, disputes, and financial administration;
  • application, creator-eligibility, partnership, and staff-review records may be retained while the application or relationship is active and for a reasonable period afterward for administration, reapplication, dispute, safety, and recordkeeping purposes;
  • support tickets, transcripts, moderation records, security logs, and abuse reports may be retained for as long as reasonably necessary to resolve the issue, document actions, prevent repeated abuse, and protect users or ONI;
  • public posts, event recordings, streams, and published content may remain available as part of ONI’s historical or promotional content unless removal is required by law or separately approved; and
  • backups and disaster-recovery copies may remain until overwritten or deleted through the normal backup cycle.

Deletion from active systems may not immediately remove information from backups, security records, financial records, or records ONI must retain by law. When retention is no longer reasonably necessary, ONI will delete, anonymize, or otherwise dispose of information as appropriate.

9. Data Security

ONI uses reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and the Services. Safeguards may include access controls, account authentication, permissions, network protections, backups, logging, updates, monitoring, and limiting access to people who need the information for an authorized purpose.

No website, network, transmission, or storage system can be guaranteed completely secure. You are responsible for protecting your credentials, using appropriate permissions, maintaining customer-controlled backups, and promptly reporting suspected unauthorized access.

If ONI discovers a security incident affecting personal information, ONI will investigate and provide legally required notifications to affected individuals or authorities.

10. Children and Teen Users

ONI’s Services are not directed to children under 13, and ONI does not knowingly collect personal information from children under 13. Anyone under 13 may not create an account, submit an application, join an ONI-managed community, or otherwise use the Services.

Users who are 13 through 17 may participate only in portions of the Services and communities made available to minors, with permission from a parent or legal guardian and subject to ONI’s teen-access rules. ONI may process a teen user’s platform identifier, username, age or age range, role, community activity, reports, event participation, or application information as reasonably necessary to operate those features and protect the community.

Only adults age 18 or older may purchase Services, create a billing account, accept an invoice or order, or enter into a contract with ONI.

If ONI learns that it collected personal information from a child under 13, we will take reasonable steps to delete it. A parent or legal guardian who believes ONI holds a child’s information should contact admin@onyxinteractive.org.

11. Your Privacy Rights and Choices

Depending on where you live and applicable law, you may have the right to:

  • confirm whether ONI processes your personal information;
  • request access to or a copy of your personal information;
  • correct inaccurate personal information;
  • request deletion of personal information;
  • obtain certain information in a portable format;
  • withdraw consent where processing is based on consent;
  • opt out of promotional communications;
  • opt out of a sale, targeted advertising, or certain profiling where applicable; and
  • appeal ONI’s refusal of a privacy request where applicable law provides that right.

ONI does not currently sell personal information, use it for targeted advertising, or make decisions producing legal or similarly significant effects through profiling. Therefore, a separate sale or targeted-advertising opt-out is not currently necessary for ONI’s stated practices.

To exercise a privacy right, email admin@onyxinteractive.org with the subject line “Privacy Request.” Describe your request and identify the account, Service, or interaction involved. ONI may ask for information reasonably necessary to verify your identity and authority. We will use verification information only to process and document the request.

You may use an authorized agent where applicable law permits. ONI may require proof of the agent’s authority and may verify the request directly with you. If ONI denies a request and applicable law gives you an appeal right, reply with the subject line “Privacy Appeal” and explain why you believe the decision should be reconsidered.

Privacy rights may be subject to exceptions, including when information must be retained for security, fraud prevention, transaction completion, legal compliance, free expression, internal administration, or the establishment or defense of legal claims. ONI will respond within the time required by applicable law.

12. Do Not Track and Global Privacy Control

Some browsers offer “Do Not Track” or Global Privacy Control signals. Because ONI does not sell personal information or use it for targeted advertising, ONI does not currently change its ordinary practices in response to these signals. Where applicable law requires recognition of a valid browser-based opt-out signal, ONI will honor that signal as required.

13. Third-Party Links, Platforms, and Integrations

The Services may link to or integrate with Discord, Twitch, YouTube, Facebook, game publishers, partner communities, payment processors, and other third parties. Those parties may collect information independently under their own privacy policies. ONI does not control and is not responsible for their independent privacy or security practices.

Review the privacy settings and policies of third-party services before providing information or connecting an account.

14. Processing in the United States

ONI operates from the United States. If you access the Services from another country, your information may be processed and stored in the United States or another location where ONI’s providers operate. Those locations may have privacy laws that differ from the laws where you live. Where required, ONI will use appropriate safeguards for covered international transfers.

15. Changes to This Privacy Policy

ONI may update this Privacy Policy to reflect changes in the Services, data practices, providers, security needs, or law. The updated Policy will identify the new “Last Updated” date. If a change materially affects how ONI uses personal information, we will provide reasonable notice through the website, account, email, billing portal, or another appropriate channel when required.

Changes apply prospectively from the effective date stated in the updated Policy.
